Actions, Action Detail, and Plans

Manage tracked follow-through, drafts, dependencies, scheduling, and multi-step work.

Overview

Vortyx represents tracked work in the UI as Actions.

Actions are confirmed pieces of follow-through: replies owed, follow-ups, waiting items, commitments, scheduled work, blocked items, and other work that should remain visible until handled.

Actions

Use Actions for a broader view of tracked work beyond the small prioritized set shown on Home.

Execution state:

  • To do
  • In progress
  • Scheduled
  • Blocked
  • Done
  • Cancelled

Continuity context:

  • Open
  • Waiting
  • Stalled

Actions use execution states such as To do, In progress, Scheduled, Blocked, Done, or Cancelled. Some Actions also carry continuity context such as Open, Waiting, or Stalled. Execution state describes where the Action is in its workflow; continuity context describes who owns the next move and whether expected progress has occurred.

Action Detail

Open an action to view Action Detail.

Action Detail can help you understand and move an action forward. Depending on the action, it may show:

  • the current status
  • why the action exists
  • source context
  • tracking context
  • relationships to other actions or plans
  • calendar scheduling options
  • suggested next actions
  • completed actions and execution history
  • clarification prompts if Vortyx needs more information

Common next actions include:

  • Reply
  • Follow up
  • Check later
  • Add to calendar
  • Refresh status
  • Update draft
  • Mark handled

Check later postpones when the Action should return to attention. It does not create a calendar event.

Marking an Action handled closes the continuity loop and may also move the Action to its completed execution state, depending on the action type.

Drafts and Follow-Ups

When Vortyx helps with a reply or follow-up, review the draft before sending.

If newer information appears, Vortyx may ask you to update or review the draft again. This helps avoid sending stale replies or follow-ups.

Blocked Actions and Dependencies

Some actions may be blocked by another action or dependency.

Use Action Detail to understand what is blocking the action and, where available, open the dependency.

Plans

Use Plans for multi-step workstreams.

Plans can group related actions and show progress across open, blocked, setup-needed, completed, and archived work.

Use Plans when the work is more than a single open loop, for example:

  • preparing a launch checklist
  • coordinating a client onboarding
  • completing a multi-step follow-up sequence
  • turning an outcome into a set of scheduled actions

Active Plans

Home can show Active Plans.

Use this section to quickly return to plans already in progress. The full Plans view lets you browse:

  • In progress
  • Completed
  • Archived

You can create a new plan from the Plans screen.

Scheduling Plan Work

For supported plans and accounts, Vortyx can help turn plan actions into a calendar schedule.

Scheduling flows may let you:

  • choose a calendar provider
  • add scheduling constraints
  • generate a schedule preview
  • edit suggested slots
  • schedule remaining actions
  • unschedule a calendar-linked action

Availability can be checked across connected calendars. The final schedule is created only after you choose and approve the schedule.

Best Practices

  • Use Actions for confirmed work that needs movement.
  • Use Action Detail when you need context, a draft, a schedule, or status update.
  • Use Plans for multi-step work, not every small item.
  • Keep blocked actions accurate by updating dependencies.
  • Review drafts before sending.
  • Mark actions handled when the work is truly closed.

FAQ

Are Actions the same as tasks?

In the Vortyx UI, tracked work is represented as Actions. Actions can include task-like work, waiting items, replies, follow-ups, scheduled work, and commitments.

When should I create a plan?

Create a plan when the work has multiple related actions or needs a coordinated schedule.

Does scheduling a plan automatically send anything?

No. Scheduling creates calendar-linked work after user approval. Replies and follow-ups still require review before sending.
