Privacy, Permissions, and Control

Vortyx is designed around review and user control.

Connected sources can help identify important open loops, but suggestions do not automatically become tracked work. Drafts and external actions remain under your approval.

Vortyx uses review to keep you in control.

Before detected work becomes tracked, you can:

• confirm it
• edit it
• dismiss it
• set a due date
• check later
• track it in Vortyx
• mark it handled
• approve or revise a draft

Review is not a weakness. It is how Vortyx handles uncertainty without pretending every detection is correct.

You choose how much Vortyx should observe.

Email can be configured narrowly or broadly:

• Vortyx label for Gmail
• Vortyx category for Outlook Mail
• Selected labels
• Selected categories
• Primary inbox where available for your plan

Slack remains explicit and user-invoked:

• Send to Vortyx
• Analyze Thread
• @Vortyx where the app is added

Calendar is used for availability and scheduling after user action.

Voice and text capture are initiated by you.

Vortyx may help prepare replies or follow-ups.

Vortyx does not send messages autonomously. Review the draft, make changes if needed, and approve the action yourself.

You can disconnect connected services from Connections.

Disconnecting a service stops future access for that connection and removes stored access credentials.

Existing Vortyx records created from that connection, such as review history, actions, or entries, may remain unless you delete them separately.

For some providers, you can also remove Vortyx access from the provider's account settings.

Vortyx uses connected data to provide the features you enable, such as:

• email analysis
• Slack capture and thread analysis
• calendar availability and scheduling
• review item creation
• draft assistance
• follow-up and waiting-item tracking

Vortyx does not use connected-service data for advertising, resale, data brokerage, or broad workspace surveillance.

• Start with Vortyx label/category analysis before enabling broader email scope.
• Use Selected labels or Selected categories for predictable scope.
• Use Primary inbox only when you want broader detection.
• Keep Slack capture explicit.
• Review Needs Review before tracking.
• Dismiss noise.
• Mark handled when work is complete.
• Disconnect services you no longer want Vortyx to access.

If Vortyx does not find an expected email item:

• confirm the mailbox is connected
• check whether the message has the Vortyx label or category
• check the automatic follow-up scope
• run Analyze label or Analyze category
• refresh connection status
• reconnect the account if access needs attention

If Slack actions do not appear:

• confirm the Slack app is installed
• confirm your Slack identity is linked
• confirm the app is added to the channel
• use Send to Vortyx or Analyze Thread

If calendar scheduling is unavailable:

• confirm your plan includes calendar sync
• connect or reconnect Google Calendar or Outlook Calendar
• allow Apple Calendar access on iOS if using local calendar scheduling
• set a duration before requesting slot suggestions
