Overview
A workspace is the container where Vortyx work is organized.
Workspaces affect where captured work belongs, which review queue receives detected items, which connected accounts are used, and who can see workspace-scoped content.
You may have:
- a personal workspace
- one or more shared workspaces
- access to workspaces created by other people
Use a personal workspace for private follow-through. Use a shared workspace for work that should be visible to the team.
Why Workspace Choice Matters
Before creating, capturing, connecting, or confirming work, check the active workspace.
The active workspace controls where Vortyx places:
- review items
- tracked work
- recurring commitments
- outputs from supported connected-service flows
- workspace-scoped settings
- member and invite management
If you confirm an item in a shared workspace, treat it as shared workspace work. If you want an item to stay private, use your personal workspace.
Switching Workspaces
Use the workspace selector to switch between available workspaces.
The Home screen shows the current workspace. The workspace selector lets you choose another workspace when more than one is available.
You can also open:
Profile → Manage workspaces
From there, you can:
- view the current workspace
- switch to another workspace
- set the current workspace as your default
- open member and invite management
- create another workspace when your plan allows it
Creating a Workspace
Open:
Profile → Manage workspaces → Create workspace
Enter a workspace name and create the workspace.
Multiple workspaces depend on your plan. If your current plan does not include multiple workspaces, Vortyx will show an upgrade prompt.
Workspace Region and Data Residency
When region selection is available, the workspace region selects the primary Vortyx infrastructure region used for supported workspace-scoped processing and storage.
Choose the region that best matches your organization's operational and data-location requirements.
Connected services and third-party providers may still process data according to their own infrastructure and policies. For example, Gmail, Outlook Mail, Slack, calendar providers, app stores, and AI or infrastructure subprocessors may operate outside the selected Vortyx workspace region.
The selected workspace region does not guarantee that every external provider, subprocessor, support process, backup, log, or infrastructure component involved in a workflow operates only in that region.
If your organization has specific data residency requirements, review the privacy policy, subprocessors, and provider terms before selecting a region.
Default Workspace
Your default workspace is the workspace Vortyx returns to by default.
In Manage workspaces, you can make the current workspace your default when another workspace is currently selected.
This is useful when you usually work in one workspace but occasionally switch to another.
Members and Invites
Open:
Profile → Manage workspaces → Members and invites
This screen supports:
- accepting a workspace invite by pasting an invite link
- reviewing an invite before accepting it
- accepting an invite and switching into the joined workspace
- creating member invites when you are a workspace owner and your plan allows collaboration
- copying or sharing invite links
- viewing active members
- viewing pending invites
- revoking pending invites
- removing members from the selected workspace
Invite creation asks for the invited user's email address and generates an invite link. Share that link with the invited user.
Accepting an Invite
If someone sends you a Vortyx workspace invite link, you can open the link directly where supported.
You can also accept from inside Vortyx:
Profile → Manage workspaces → Members and invites → Accept invite
Paste the invite link, choose Review invite if you want to inspect it first, then choose Accept invite.
After acceptance, Vortyx adds the workspace to your account and switches you into it when possible.
Invite links can expire or be revoked. If an invite does not work, ask the workspace owner to create or share a new link.
Roles and Permissions
Vortyx currently uses a simple role model.

| Owner | Can use the workspace, create and review work, and manage workspace-level access screens. | Can invite members when collaboration access is available, copy or share invite links, revoke pending invites, and remove members. |
| Member | Can switch into the workspace, create and review work in that workspace according to their access, and accept other workspace invites from inside the app. | Cannot manage members or invites. |
Only workspace owners can manage members and invites for the selected workspace.
Connections in Workspaces
Connections are configured and used in the active workspace context.
Before connecting a service, check the active workspace. The connection screen may show wording such as:
Connect Gmail to [workspace name]
Use the intended workspace before connecting:
- Gmail
- Outlook Mail
- Slack
- Google Calendar
- Outlook Calendar
Slack can also bind routing to the current workspace for selected channel or thread behavior. Slack remains explicit and user-invoked; connecting Slack should not be treated as broad workspace monitoring.
Calendar connections are used for availability checks and user-approved scheduling in the active workspace context.
Removing Members and Revoking Invites
Workspace owners can remove members from the selected workspace.
Removing a member removes their access to that workspace. Existing records stay in the workspace.
Workspace owners can also revoke pending invite links. A revoked invite can no longer be accepted.
The current app does not expose an ownership transfer flow in this guide. If ownership changes are needed, contact support or follow the current product flow if one is added later.
Workspace Limits
The number of workspaces and shared workspace capabilities available depends on your plan. See current plans for details.
Vortyx may show upgrade prompts for:
- multiple workspaces
- shared workspace collaboration
- workspace invites
Best Practices
- Check the active workspace before confirming review items.
- Use your personal workspace for private follow-through.
- Use shared workspaces only for work that should be visible to the team.
- Connect Gmail, Outlook Mail, Slack, and calendar access from the intended workspace.
- Invite only people who should see workspace-scoped work.
- Revoke pending invites that should no longer be usable.
- Remove members who no longer need access.
- Set your default workspace to the one you use most often.
FAQ
Does a shared workspace make all my personal email visible?
No. Connecting a personal mailbox or calendar does not give other members direct access to the underlying mailbox or calendar. Workspace members can see workspace-scoped Vortyx objects and the source context exposed inside those objects.
Should I switch workspaces before connecting Gmail or Outlook Mail?
Yes. Connections are configured and used in the active workspace context, so switch to the intended workspace before connecting a mailbox.
Are invites emailed automatically?
The current app creates an invite link that you can copy or share. Share that link with the invited user.
Can members invite other members?
Only workspace owners can manage members and invites for the selected workspace.
What happens when an owner removes a member?
The removed member loses access to the selected workspace. Existing records stay in that workspace.
