Overview

Entries are source records created by supported capture and analysis flows.

Use Entries when you want to review recent captures, inspect source context, return to something saved for later, or delete an entry you no longer need.

Recently Captured

Home can show Recently captured items.

This is a quick way to return to fresh items from supported voice, text, email, and other capture or analysis flows. Use View more to open the full Entries view.

Recently captured is not the same as Needs Review. Needs Review is where Vortyx asks you to approve candidate work. Entries are the source records and capture history behind what entered the system.

Entries

The Entries screen shows capture history over time.

You can use date filters such as:

  • All
  • Today
  • Week
  • Month
  • Custom range

Use Entries when you want to find a previous capture, check whether something finished processing, or open the source record behind a Vortyx item.

Entry Detail

Open an entry to see Entry Detail.

Depending on the source and processing state, Entry Detail may show:

  • the captured note or transcript
  • source email or source transcript context
  • extracted actions or reviewable suggestions
  • saved-for-later status
  • processing status
  • source context that can be expanded or collapsed

If an entry is still processing, you can leave the screen and return later from Recently captured or Entries.

Saved for Later

Use Save for later when something matters but is not ready to become structured work.

A saved-for-later entry remains available in Entries so you can revisit it, expand it where available, and take the available actions later.

Deleting Entries

Use Delete entry when a captured source record no longer needs to remain in Vortyx.

Deleting an entry removes that entry from the capture history. If the entry has already produced separate tracked actions or review outcomes, those may need to be managed separately from their own screens.

Best Practices

  • Use Recently captured for fresh items.
  • Use Entries when you need source history.
  • Use Entry Detail to inspect context before acting.
  • Use Save for later for rough notes and incomplete thoughts.
  • Delete entries you no longer need.
  • Use Needs Review, not Entries, when your goal is to approve or dismiss detected work.

FAQ

Is an entry the same as an action?

No. An entry is a captured or analyzed source record. An action is tracked work you can act on, schedule, complete, or review in more detail.

Why is an entry still processing?

Some captures take time to process. You can leave the screen and return from Recently captured or Entries when processing is complete.

Does deleting an entry delete every related action?

Not necessarily. Treat entry deletion and action management as separate unless the current product flow explicitly says otherwise.
